The Board of Directors Meeting is the semi-annual gathering of the Association’s leadership.  In addition to the Board business meeting, sessions feature speakers from government, business, and academia who discuss current issues of importance to the refining and petrochemical industries. Attendees also benefit from networking opportunities in a social setting.

Registration fees are based on AFPM membership. If your company is a member of AFPM, you qualify for the member fees.

Cancellation Policy

Registration cancellations may be emailed to BOD@afpm.org. Cancellations may be made by August 9, 2024 with no penalty. Cancellations submitted between August 10 - 23, 2024, will receive a refund of fees, less a $100 processing fee. No refunds after August 23, 2024. No telephone cancellations.

Who Should Attend:

Each member company has an appointed representative to the Board who is invited and encouraged to attend. In addition, each member may register one additional company employee.

Airport

There are several different airport options to get to the Cloister Resort, which are listed below:

  • One-hour drive from Jacksonville International Airport (JAX)
  • An hour-and-15-minute drive from Savannah International Airport (SAV)
  • Twenty-minute drive from Brunswick Golden Isles Airport (BQK), serviced by Delta Airlines
  • Ten-minute drive from The Cloister—five minutes from The Lodge—from the private McKinnon St. Simons Island Airport (SSI)

Taxis and Ride-Shares

Sea Island offers a complimentary on-demand ride-share service moving between The Cloister, The Lodge, The Inn, and Retreat. However, while visiting, if the need arises for use of an external taxi service or ride-sharing transportation, the Main Security Gate requires advance notice with a phone number to confirm that access to Sea Island should be provided. BMWs at the Cloister

There are also onsite BMW's to use at your leisure (based on availability). Pre-register for your BMW test drive and then visit the Bell Stand at The Cloister or the Concierge Desk at The Lodge to pick up your keys during your stay. Cars are available on a first-come, first-served basis, for up to two hours of driving. 

Parking

Valet: $30.00 daily rate - Valet parking is required for guests staying in The Cloister Main Building or Wings.

Self-Parking: $25.00 daily rate - Self-parking is available to overnight guests staying at The Lodge, in the Beach Club, or The Cloister Ocean Residences


Housing

Reservations cannot be made prior to registration. Upon completion of registration, on the registration confirmation page as well as in your confirmation email you will be provided instructions on how to reserve your hotel accommodations. Should you have any trouble in making your reservations please contact us at BOD@afpm.org

Be sure to reserve your room on or before August 7, 2024. The room block rate cannot be guaranteed after this date.

Hotel Resort Fees: Please note the rates do not include applicable state and local taxes, currently 7.00% sales tax, 5% room tax, a 2.25% infrastructure fee (SIIF), and a $5.00 state lodging tax, or the following automatic or mandatory charges a nightly resort charge of $38.00. The daily resort fee will cover several amenities, which include: Wi-Fi in guest rooms and lobby, local calls, unlimited access to the Fitness Center (with strength and cardio equipment, heated indoor pool, whirlpool, hydrotherapy pool, labyrinth, locker rooms, steam and sauna) and Sea Island Beach Club, shared transportation between The Cloister, The Lodge and Retreat, in-room Nespresso hot beverage program, complimentary use of BMW Courtesy Cars (based on availability), beach chairs, towels and umbrellas, morning coffee and pastries, afternoon tea and cookies at The Cloister, morning coffee and tea, and milk and cookies at evening turndown at The Lodge, in-room evening bottled water and ice delivery, and access to PressReader app offering over 4,000 newspaper and magazine titles.

Hotel Cancellation Policy: For standard reservations, we require notification of cancellation or shortening of stay at least (7) days prior to arrival for a refund of this deposit. Cancellations or shortenings of stay within the (7) day period will result in forfeiture of the full deposit.

Room night requests: If rooms are not available for all of the dates you wish to stay, please make a reservation for the nights that are available, enter a request for the additional date(s) in the "Special Requests" section of your hotel reservation and send an email to BOD@afpm.org. AFPM will monitor these requests and work with the hotel to try to accommodate them.

AFPM Antitrust Policy
AFPM takes its antitrust compliance obligations seriously and our antitrust policy goes beyond the minimum requirements.

To ensure compliance with the antitrust laws and avoid any appearance of anticompetitive activity, every participant in AFPM meetings and AFPM activities must adhere to the AFPM antitrust guidelines.

Therefore, there should be no discussion or disclosure of information with respect to:

  • Individual company’s prices, profits, premiums, surcharges, or discounts;

  • your intent to do business with specific customers;

  • proposed product offerings;

  • allocation of geographic or product markets;

  • any refusal to deal with a customer or supplier;

  • how to respond to the market behavior of a competitor;

  • company’s non-public, confidential information; or

  • any other topic involving a potentially anticompetitive practice


It is not only your duty to follow the AFPM policy, but also to affirmatively stop any conversations on impermissible subjects. If a discussion presents an antitrust issue, raise your concern immediately. If the discussion continues, announce that you are leaving the meeting because you have an antitrust concern and immediately report your concern to AFPM staff and legal counsel. These Guidelines apply both during the meeting and at informal social events involving AFPM members.

This reference is an overview of AFPM’s Antitrust Guidelines. It is not a substitute for legal counsel. Any and all antitrust related concerns should be addressed to AFPM’s General Counsel.

Ethical Responsibility and Professional and Personal Conduct Code
The American Fuel & Petrochemical Manufacturers (“AFPM”) has adopted the following “Ethical Responsibility and Professional and Personal Conduct Code” (hereinafter, “the Code”). Every member of AFPM, their designated representatives, and non-member attendees at all AFPM meetings and forums agree to abide by the Code as a condition of membership in AFPM and attendance and participation at AFPM meetings and forums.

The Code requires the following of all individuals attending AFPM meetings and forums:

  • Adherence to the AFPM bylaws and the AFPM policies and procedures, as adopted by AFPM’s Board of Directors.

  • Strict compliance with antitrust laws.

  • Adherence to all applicable federal and state laws.

  • Maintenance of the highest level of professional and personal ethical behavior while attending AFPM meetings and forums.

  • Prevention of certain behaviors, including harassment, violence, intimidation and discrimination of any kind involving race, color, religion, national origin, gender, sexual orientation, age, disability or, where applicable, veteran or marital status.

  • Assurance that conduct at all times and in all professional and personal dealings with each other and other attendees is with the highest level of integrity and courtesy.

  • Sharing of knowledge and expertise as speakers at AFPM educational events and sessions whenever practicable, without soliciting or explicitly promoting their own organization's products or services.

  • Working to instill public and consumer confidence in the petrochemical and refining industries, its member companies, and its professionals, avoiding any action conducive to discrediting members of AFPM.

  • Refraining from scheduling general attendance meetings, receptions or other events at times that conflict with substantive programming or social events at AFPM meetings without express written permission of AFPM.

Failure to abide by the Code may result, for the first offense, in informal censure of a company or individual by the AFPM Executive Committee. If violations of the Code continue after such an informal censure, a company may be subject to expulsion from AFPM, or an individual to exclusion from participation in AFPM activities, by the Board of Directors.

Captain's Choice Fishing Excursion — SOLD OUT

Please note the group will be meeting at the Cloister Dock by 1:00 pm. The Cloister Dock is a short walk from the Cloister Resort lobby.

Clay Shooting 

Experience the thrill of clay shooting in the picturesque setting of Sea Island, GA, with expert-led lessons that cater to both beginners and seasoned shooters alike. Under the guidance of skilled instructors, participants learn essential shotgun handling techniques, proper stance, and aiming fundamentals. Set against the backdrop of lush coastal landscapes, the clay shooting lesson offers a unique blend of sport and natural beauty. Whether refining your skills or discovering the excitement of shooting for the first time, this experience promises exhilaration and camaraderie in the idyllic Sea Island setting.

Please note the shooting school is a short-drive from the Cloister Resort. Transportation will be provided, but please plan to meet in the Cloister Lobby drive by 1:30 pm.

Golf at Plantation Course 

Join us for our annual golf outing held at the Plantation Course which sits at the Lodge, a short-drive from The Cloister, and is a course you'll want to play again and again. A true historic course, Plantation showcases a strategically interesting course with fewer bunkers for a more open course feel and a challenging 18th. The Plantation Course prides itself on its playability for all levels.

The first tee time is at 1:05 pm with the rest following.

Please note for the course there will be a forecaddie who will join you (the gratuity is included in the registration fee). Also, remember to bring your Sea Island card with you to the course as you will need it for snacks and beverages, while you will not be charged for these items you will need it to prove you are a guest at the resort.

Transportation will be provided. Be sure to indicate your handicap as you register for fair pairing. Golf Club Rentals are available for $86.75 per set for 18 holes.

Millionaire Tour @ Jekyll Island

The Millionaire Tour on Jekyll Island invites visitors to explore the island's storied past as a private retreat for America's wealthiest families during the Gilded Age. Appetizers and drinks will follow the tour at one of Jekyll Island's local staple restaurants.

Transportation to Jekyll Island, which is a quick 35-minute drive, will be provided. Please meet in the Cloister Lobby by 1:30 pm to catch the shuttle.

Pickleball 

Get ready to pickle! Join one of The Cloister's top pickleball pros to learn and play this fast-growing sport. The session begins with a 30-minute lesson covering essential skills like "dinking," serving, and an overview of pickleball rules. Once the group is ready, it's tournament time! Participants will pair off for a friendly round robin, rotating partners and opponents through several 10-minute matches. Pickleball caters to all skill levels, making this tournament a fun and rewarding opportunity to show off your abilities in this increasingly popular game.

Pickleball paddles will be provided, but please feel free to bring your own should you so wish to do so! Comfortable sneakers are required.

Please note the tennis center is located at the Lodge, which is a short drive from the Cloister Resort. We will provide transportation, but please meet in the Cloister lobby driveway by 1:30 pm.

Salt Marsh Kayaking

Please note the kayak tour will depart from Rainbow Dock, where transportation will be provided. Please meet in the Cloister lobby at 1:30 pm.

Sea Island Spa

The Cloister Spa is a serene retreat nestled within a lush coastal setting, renowned for its tranquil ambiance and luxurious amenities. Situated amidst verdant gardens and overlooking pristine waters, the spa offers a comprehensive array of rejuvenating treatments designed to promote relaxation and well-being. While AFPM does not hold any reservations for spa services, should you be interested in making a reservation during your time in Sea Island, please either email bod@afpm.org and we can make a reservation on your behalf or call the spa directly at 912-638-5148. When making your reservation you will need to provide the spa with your hotel confirmation number to proceed.
