American Fuel & Petrochemical Manufacturers (AFPM) is a dynamic trade association representing high-tech American manufacturers of virtually the entire U.S. supply of gasoline, diesel, jet fuel, other fuels, and home heating oil, as well as the petrochemicals used as building blocks for thousands of vital products in daily life, from paints to plastics, space suits to solar panels, and medicines to mobile phones. As we continue to grow and expand our reach, we are excited to announce an opening for an Executive Assistant to perform an array of administrative, logistical and strategic responsibilities in direct support of the AFPM President & CEO.
Responsibilities
- As the point of contact, gatekeeper, and liaison between the CEO and internal/external stakeholders, manages visitors, telephone calls, and correspondence including hard copy and electronic mail.
- Manages and maintains filing systems to organize data and documents, including proprietary, sensitive, and confidential information.
- Provides speaking engagement and meeting preparation support by providing briefing materials and detailed itineraries, assisting with presentation materials, and coordinating with AFPM convention services team.
- Manages a complex calendar of meetings, travel, conferences and speaking engagements by scheduling meetings and travel, updating schedules and appointments, and coordinating multiple calendars including the AFPM Board of Director’s and its Executive Committee and AFPM’s leadership team.
- Supports the work of AFPM’s Executive Committee, comprised of member company leaders, by establishing relationships with the committee members; maintaining the roster, committee documents, meeting books, and agendas; assisting in the preparation of and distributing meeting-related materials; and correspondence as needed.
- Provides administrative support by handling expense reports, preparing lobby logs and filing lobby disclosure reports, and maintaining supplies for the executive office area.
- Performs other ad hoc duties relevant to the position.
Qualifications
- A minimum of 5 years’ experience supporting and partnering with a senior executive as an executive assistant or in a similar role.
- Exceptional written and verbal communication skills, and excellent interpersonal skills including the ability to build rapport at all levels within and outside the organization.
- Advanced level of skill using Microsoft Office Suite, specifically Excel, Word, PowerPoint, and Outlook.
- Ability to manage multiple and changing priorities with an adaptable and flexible approach in a fast-paced work environment.
- A proactive and solution-oriented mindset, anticipating needs and taking the initiative as appropriate.
- A high level of integrity and discretion, and the ability to maintain confidentiality with sensitive information.
