As we continue to grow and expand our reach, we are excited to announce an opening for an Executive Assistant to support the Senior Vice President, Government Relations & Policy and the General Counsel. This role coordinates and manages executive scheduling, prepares and processes executive and department reports, updates tracking spreadsheets, prepares and organizes documents and materials, and supports the preparation of meeting materials. The position communicates within the assigned departments and across AFPM to help manage projects, gather critical business information, and further the work of the SVP and the General Counsel.
Responsibilities
- Works directly with the SVP and the General Counsel (“Executives”) to support assigned aspects of their daily work routines.
- Maintains the Executive’s calendars, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercises discretion in committing time and evaluating needs.
- Serves as a liaison between the Executives, AFPM staff and members. This includes answering a variety of questions with tact and diplomacy, sorting and screening emails, taking messages, and directing calls appropriately for resolution.
- Coordinates work with other AFPM staff as needed; plays key role in the coordination of staff efforts both within and outside the department.
- Provides coordination, monitoring, and communication of projects and programs managed by the Government Relations & Policy departments and the Legal department.
- Keeps the Executives advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Routinely perform a wide variety of administrative and support duties within and outside of the assigned departments, including preparing, reconciling, and submitting expense reports.
- Maintains confidential and sensitive information.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Qualifications
- Experience supporting executives or heads of departments in a manner similar to the responsibilities outlined in this job description.
- Builds rapport easily and has strong interpersonal, communication, presentation, and relationship-building skills, including effective verbal and written communication skills.
- Exhibits professionalism, emotional management and reliability in all activities, conversations, and interactions.
- Works best in a collaborative team environment defined by a culture of excellence, mutual support, open and honest feedback, and goal achievement.
- Is proficient in Microsoft Office programs specifically Teams, PowerPoint, Word, Excel, and Outlook.
- A related bachelor’s degree is preferred but not required.
